1.1 Travel With AJ Voyages operates as a tour operator offering customised itineraries, group tours, and related travel services.
1.2 These Terms & Conditions apply to all bookings made through our website, email communication, or authorised travel agents.
1.3 By booking with us, you acknowledge that you have read, understood, and agreed to these terms.

2. Bookings & Payments

2.1 A booking is considered confirmed only after receipt of an advance payment (percentage to be specified).
2.2 The balance payment must be made within the timeline communicated at the time of booking, usually prior to commencement of the tour.
2.3 Payments can be made via bank transfer, credit/debit cards, or other secure methods specified by the company.
2.4 In the event of non-payment within the due date, the booking may be cancelled, and cancellation charges will apply.

3. Pricing & Inclusions

3.1 Prices quoted on our website or proposals are in the currency specified and subject to availability.
3.2 The package price generally includes accommodation, transport, sightseeing as per itinerary, and services of guides (where applicable).
3.3 Prices do not include: international flights, visa charges, travel insurance, tips, laundry, personal expenses, meals not mentioned in the itinerary, or any optional activities.
3.4 The company reserves the right to revise prices in case of changes in taxes, fuel surcharges, exchange rates, or other unforeseen factors.

4. Cancellations & Refunds

4.1 Cancellation by the client must be communicated in writing via email.
4.2 Cancellation charges will apply based on the notice period before departure:

  • More than 30 days: [e.g. Full refund minus service fee]
  • 15–30 days: [e.g. 50% of tour cost retained]
  • Less than 15 days: [e.g. No refund]
    4.3 Refunds, where applicable, will be processed within a reasonable period but may be subject to third-party policies (airlines, hotels, etc.).

5. Amendments by the Client

5.1 Requests to amend or reschedule bookings must be made in writing.
5.2 The company will try to accommodate changes, but additional costs may apply.
5.3 Major changes may be treated as a cancellation and rebooking, subject to applicable charges.

6. Amendments by the Company

6.1 The company reserves the right to amend itineraries due to circumstances beyond its control, including weather conditions, strikes, or safety concerns.
6.2 If alternative arrangements are of lower value, the client may be entitled to a refund of the difference.
6.3 In case of force majeure (natural disasters, political unrest, pandemics), refunds will be subject to partner policies.

7. Travel Documents & Insurance

7.1 Clients are solely responsible for ensuring they have valid passports, visas, health certificates, and other required travel documents.
7.2 The company may provide guidance but cannot guarantee approvals or entry into any country.
7.3 Travel insurance covering medical emergencies, cancellations, delays, and personal belongings is strongly recommended.

8. Health, Safety & Conduct

8.1 Clients must disclose any medical conditions that may affect their participation in the tour.
8.2 Participation in activities such as safaris, trekking, or adventure sports is at the client’s own risk.
8.3 The company is not liable for accidents, injuries, or loss of property during the tour.
8.4 Clients are expected to respect local laws, customs, and cultural sensitivities. Unacceptable behaviour may result in termination of services without refund.

9. Limitation of Liability

9.1 The company acts as an intermediary between clients and third-party service providers (hotels, transport operators, guides).
9.2 We are not liable for delays, cancellations, accidents, loss, or damages caused by third parties or circumstances beyond our control.
9.3 Liability is limited to the value of the services booked directly with the company.

10. Complaints & Dispute Resolution

10.1 Any complaints must be reported to the company representative during the tour to allow resolution.
10.2 If unresolved, complaints must be submitted in writing within 14 days of tour completion.
